Travel Tip: Meals and Incidental Per Diem

Generally, meals and incidental travel expenses (M&IE) are reimbursed on a per diem basis (not actual expense). The per diem is only payable when an employee spends the night away from home; it is not payable when attending a full day conference locally such as in Baltimore or Washington although the employee may be away from home for both lunch and dinner.

The M&IE per diem covers:
• Actual cost of meals, including tips and taxes
• Transportation to restaurants
• Personal telephone calls
• Laundry
• Tips to baggage handlers and taxi drivers

Receipts are not required for M&IE per diem reimbursement.

Per diems should be prorated or reduced for:
• Departure and return days – 75% of meal and 100% of incidental will be reimbursed
• No cost meals – identify meals provided by conference or another payer
• Business meals - reimbursed at actual cost (up to 50% over guideline) with an original receipt

Health & Flex Open Enrollment Ending This Friday. One last reminder that Health Care and Flexible Spending Account Open Enrollment runs through this Friday, May 16. Open Enrollment is your chance every year to enroll in or change your health plan, add or remove family members or enroll in a flexible reimbursement account (FRA). If you take no action, your health plan and membership will remain the same, but current FRAs will end on June 30. Remember that you must enroll in an FRA each year.

National Employee Health & Fitness Day is Coming. Wednesday, May 21, is National Employee Health & Fitness Day. To celebrate, take a 15-20 minute walk around campus. Encourage a colleague or perhaps your entire department to take a walk anytime on May 21. Explore your campus or the neighborhood nearby. This is a great opportunity to take some time for you. Regular exercise is good for your mind and your body. So c'mon Mason, stroll for the goal ... a healthy you. After you have completed your walk, send an email to hrtrain@gmu.edu with you name and G number and receive a carabiner keychain.

Eldercare Support Group: Care for the Caregiver (New Time for May Only). The eldercare support group meeting time has changed for May. Instead of meeting at noon on Wednesday, May 14, the group will be meeting at 4:00 pm on the 14th in Mason Hall, Room D5. The eldercare support group is designed to bring faculty and staff together who are caring for an elderly family member to share strategies that work and gain insights into the caregiving role. This month, we're adding a new dimension to the support group -- Care for the Caregiver. We hope you can join us as Patrice Winter, our Eldercare Coordinator and licensed physical therapist, will be discussing reflexology. No need to register, just stop by.

21st Annual Patriot Club Alumni Athlete Golf Outing

Time - 9:00 am registration, 11:00 am shotgun start, 4:00 pm social hour and silent auction, awards and dinner to follow

Format - Four person team scramble
Entry Fee - $175 per golfer

Play for your team. The Mason team with the most alumni-athlete representation in the Golf Outing will receive 10% of the proceeds to use for the team's operating budget next year. Last year wrestling had the most representation. Sponsorship opportunities are available.

Bike to Work Day

On Friday, May 16, join bicycle commuters in the D.C. metro area to celebrate Bike to Work Day. Mason cyclists will gather at University Mall for a free breakfast, raffles of bike-related prizes, and bicycling information handouts including the new Fairfax County Bike Map to be unveiled on Bike to Work Day. Office of Research Development Workshops

Conflict of Interest/Commitment. Identifies what conflicts of interest are and how they are to be handled, as well as examples of the types of conflicts that are encountered by researchers and institutions. Explore areas of potential conflict that can arise in collaboration, publication and in financial relationships. Presenters: Conflict of Interest Committee Members. Prince William Campus. Grant Writing Workshop. Provides instruction on how to write grant proposals. It will include specifics on how to read and interpret a Request for Proposal and how to apply it to your proposal. Includes information on what grant reviewers and program officers look for in a proposal and advice on how to develop a strong proposal. Presenters: A. McGuigan and L. Schioler (a grant project director and former program officer at the NSF and the US Air Force Department of Research) May 15, 1:00 pm - 5:00 pm, Research I, Room 162.

Mason Hosts Virginia Governor's Commission on Climate Change

George Mason University is honored to host the fourth meeting of the Virginia Governor's Commission on Climate Change on Tuesday, May 13, 10:00 am to 5:00 pm, Johnson Center, Dewberry Hall.

The meeting is open to all members of the Mason community as well as to members of the surrounding community. Presentations at this meeting will provide an update on congressional activity regarding climate change, examine the impacts of climate change on infrastructure and insurance, examine the economic and investment opportunities associated with emerging technologies to fight climate change, and take a look at the potential impact of regulating greenhouse gas emissions and some lessons learned from other countries who have done so.

At the end of the session (around 4:00 pm), there will be time for public comments to be made for the Commission to hear and document. This is your chance to make your voice heard by Virginia leaders in regards to climate change.

Toastmasters is coming to Mason, and a year in Toastmasters can change your life and accelerate your career.

Join us for the first meeting of the George Mason Toastmasters club. The demonstration kickoff meeting is Tuesday, May 13, 12:00 noon - 1:00 pm, Johnson Center, Room B. Come see what a Toastmasters meeting is like. Lunch is free.

People join Toastmasters to improve their public speaking and leadership skills. A number of us are organizing a lunchtime Toastmasters club on campus, which makes it easy to attend meetings. This club is intended for staff, faculty, and graduate students. (A second club for undergraduates will begin in the Fall.)

Staff Appreciation Day Is Coming Soon

Mason's Staff Senate invites all classified, non-student wage employees and administrative faculty to Staff Appreciation Day. This year the Staff Senate will offer free Domino's pizza and beverages at the Fairfax and Prince William campuses and Subway subs at the Arlington campus. Mason Baseball: Faculty/Staff Discounts for Final Home Series

George Mason faculty and staff will receive discounts on tickets for the baseball team's final home series of the season, May 15 - 17 at Spuhler Field. The Patriots will host William & Mary on Thursday (3:00 pm), Friday (3:00 pm) and Saturday (2:00 pm).

All Mason faculty and staff are eligible to purchase $1 tickets for any of the three games. The offer is good for up to four tickets. Tickets can be purchased at the game. Mason has a 25-23 record and has already clinched a spot in the 2008 CAA Tournament to be held in Wilmington, NC.

What is BYTE Week? BYTE Week workshops are presented to faculty, staff, and students in an effort to develop new skills to support technology-enhanced learning inside the classroom and the university.

What workshops are offered? We offer a variety of technical workshops such as Photoshop, Podcasting, Camtasia, Flash, Dreamweaver, Section 508 Accessibility, Microsoft applications, and Web 2.0 tools.

Assistive Technology Initiative (ATI) BYTE Week Session

Accessibility and Section 508 Compliance at Mason on Monday, May 12, 2:30 pm - 3:30 pm, Thompson Hall, Room 221.

This workshop will provide an overview 508 Compliance as it pertains to the Mason community. This will cover the entire scope of standards which include: web based internet and applications, software applications, telecommunications, video and multimedia, self contained and closed products, and desktop and portable computers. You will discover what roles and responsibilities you can play in helping the University become more accessible as well as the tools we provide to help make it easier for everyone.

Free Summer Programs for Non-Native Speakers of English

This summer the English Language Institute will offer a free two-part seminar in graduate-level writing and free pronunciation, grammar and conversation/culture workshops for non-native speakers of English. The writing seminar is open to non-native English speaking graduate students and visiting scholars; the workshops are open to all international and immigrant members of the Mason community. Registration is required for the writing seminar; contact Melissa Allen at malle2@gmu.edu. Registration is not required for the workshops.

Travel. Thursday, May 15, 9:00 am - 12:00 noon, Johnson Center, Room 311B. This workshop will provide detailed information on processing travel authorizations before a trip and travel reimbursement requests at the conclusion of a trip. Procedures for purchasing airline/train tickets, hotel accommodations and rental cars will also be covered. The session will conclude with a demonstration of Mason's automated Travel Request System.

PI Financial Reports for Faculty and Grant Administrators. Friday, May 16, 2:30 pm to 3:30 pm, Innovation Hall, Room 334. Hands-on training for using Discoverer reports to view financial transactions related to sponsored projects. A representative from OSP will be available for questions.

Basic eVA Purchasing. Thursday, May 22, 1:30 pm to 4:30 pm, Johnson Center, Room 311B. Hands-on workshop for utilizing Virginia's electronic procurement system to purchase goods and services less than $2,000.

Banner Finance Self Service. Tuesday, May 27, 9:00 am - 12:00 noon, Johnson Center, Room 311B. This workshop for faculty and staff who work with budget and financial activity provides an overview of the University's Banner Finance system and chart of accounts. It includes hands-on training to view reports generated by the system.

Search Committee Training at Prince William Campus This workshop will discuss the roles and responsibilities of the search committee in the new hire selection process to ensure the committee conducts a fair, legal, and unbiased recruitment, interview and selection process. The workshop covers both faculty and classified searches. Presented jointly by the Office of Equity and Diversity Service and Human Resources and Payroll, this class will take place on Monday, May 19, 1:00 pm - 2:00 pm, Discovery Hall Auditorium.

Mason Investment Series: Investing for Women: Tips to Help Women Take Charge of their Retirement. Join Stacey Osborne, CFS, ChFC, from ING Financial Advisers as she helps navigate the world of saving for retirement. She will focus on retirement planning, specifically on the different approaches men and women take. This workshop will take place on Wednesday, May 21, 1:00 pm – 2:00 pm, Research I, Room 161.

New SUPERvisor Series: Project Management for Supervisors. All supervisors at Mason are invited to join Derek Kan, project management expert, as he teaches the basics of project management and helps improve project management skills. This workshop will take place on Thursday, May 22, 1:30 pm – 4:30 pm, SUB II, Rooms 3-4.

Lunch & Learn: Stretching to Relieve Stress. If you’re feeling stressed we need you. Join Patrice Winter, physical therapist and Mason’s eldercare coordinator, as she demonstrates moves that will relieve stress and leave participants with a better appreciation of posture, body mechanics, and positions of ease. Wear comfortable clothing (preferably pants with an elastic waistband) and bring a mat or towel to this workshop, which will take place on Friday, May 23, 12:00 noon - 1:00 pm, Johnson Center, Dance Studio.
