As shown in the above image, there are many options provided under the Repeating tab.
Frequency
Frequency of the meeting can be set to be daily, weekly, monthly (by date or day), or yearly. Please look at the drop-down list in the following snapshot:
For the purpose of explaining, these options, have been sub-divided into two parts: "Daily, Weekly and Yearly" and "Monthly".
Daily, Weekly and Yearly
We have grouped together the three options of daily, weekly and monthly as they provide similar options and are set up in a similar fashion. For instructions related to these three options, lets take the example of weekly. You have an option of choosing:
a) Every Week: Meeting that you create for a particular date and is to be repeated every week on the same day and time.
b) Every __ Week: Meeting that you create for a particular date and is to be repeated every 2nd, 3rd and so on week of the month. This is like a fill in the blank option where you choose the number to specify which days, weeks or year the meeting will repeat itself.
Monthly
Monthly on date(s): Meeting that you create for a particular date and is to be repeated on particular date.
The two options below have "particular" underlined. The options are like "fill in the blanks". You specify the particular date, day or month.
- Meetings that occur monthly on the particular date of every month. For example, setting up the staff meeting that takes place on the 7th of every month.
- Meetings that occur on the the particular date of every particular month. For example, setting up a budget meeting that is to take place on the 1st of every 3rd month.
Monthly on day(s): Meeting that you create for a particular day of the month and is to be repeated on that day of every particular month. For example, to create a general meeting on the first Monday of every month:
- Choose 1st Monday from the drop down list.
- Enter 1 in the textbox.
This avoids the possibility of creating a repeating meeting that ends up on a non-working day, which is possible in the case of creating a repeating meeting by the Monthly on date(s) option.
Start and end dates
Choose the start date. Either scroll up and down the dates using the arrow buttons
or choose a date by clicking on the calendar icon
.
Having chosen the start date, the end date can be chosen as a particular date until which the meeting will be repeated or for a particular number of day(s), week(s), month(s), year(s).
Include
If the need be you can also include Saturdays, Sundays or Holidays.
Conflicts
Display, Suggest time, Ignore are the three options provided.
Additional Date
Can add an additional dates on which the meeting is desired but has not been included as a meeting day by the regular pattern options. After choosing a date, click on the check icon to include the date.
List Dates:
The most important part of the repeating section is this List Dates button. Clicking on List dates, populates the list of days/dates when the meeting is set to repeat. Only when this list is created and you click on Ok, does the repeating option get fully set.
The bell icon signifies that there is a reminder set for the meeting. The question mark appears as a mark that this meeting has not been checked for conflicts. After you check for conflicts and there is no conflict found the question mark disappears. To check conflicts either double click on the entry or from the drop down list of Conflicts, choose Display, if there is no conflict, the question mark icon will disappear.
