Scheduling

We are pleased to announce that requests for events spaces on Arlington and Fairfax can now be submitted through 25Live (25live.gmu.edu), Mason's centralized scheduling system.  Starting July 1, the event request form on events.gmu.edu will be unavailable and all requests must be submitted via 25Live.


To gain access to 25Live, faculty and staff must request a new user account and attend a training session.  More information can be found at scheduling.gmu.edu/25live.  For any additional questions, please email
series25@gmu.edu.

Click on locations, type your desired building into the search field, (you will get more output than you need), when that populates, click on the availability tab and you should be able to see spaces that are open for the date selected.

***Classroom spaces are not date on the availability option. If you desire a specific type of classroom, you will need to put in a request form and we will let you know what is available***

All space for events on campus must be requested through Events Management. Any event that does not follow the necessary scheduling procedures is subject to cancellation or other penalties.

Mason Departmental Request
Use this form if you are a faculty or staff member of a Mason department and are scheduling an event intended for the purpose of other mason faculty and staff.

Mason Recognized Student Request
Use this form if you are a Mason recognized student organization for the purpose of  scheduling an event intended for other Mason students.

Mason Request Form for the Arlington Campus (Arlington Campus)
Use this form if you are scheduling an event on the Arlington campus.

External User request
Use this form  if you are not a member of a Mason department or Recognized student group. We require at least two weeks to process external requests. Click here to check for pricing and room information. At least 2 weeks is required for processing.

SCHEDULING REMINDERS

  • We strive to respond to all internal requests within 5 to 7 business days. More time is sometimes necessary to process large and/or complex requests.  
  • We are making every effort to get to each request as quickly as possible, however, requests made less than 5 business days prior to the requested event date may not receive a response from our office.
  • Once a scheduler has processed your request, he/she will confirm the event via e-mail or fax. Confirmations may also be picked up at the office.
  • If the space or time you've requested is not available, a scheduler will contact you to discuss alternatives. It is recommended that you include alternative space and times in case your first choice is not available.
  • DO NOT proceed with the planning or advertising for your event until you receive written notification that a space has been assigned to you.
