Retrieval of Temporary Records from the Records Center

 

Records in storage at the GMU Records Center are retrieved upon request.  Only a representative of the department that transferred the records may request records retrieval from the Records Center. Records Management refers all third-party requests to the donor/transfer department. Call (x3-2221), or e-mail the University Records Manager if you need to have file(s) retrieved. 

To expedite the processing of your request, please remember to provide all necessary tracking information, including:

  • box number 
  • box title/caption
  • folder number/title, as well as any other pertinent identification information 
  • date the record/box was transferred to Records Management 

Such information will facilitate the retrieval of your information. If possible, refer to your office's records for copies of box labels for boxes transferred to Records Management; most of the information listed above as required for records retrieval can be found on the box label.

If your request is time sensitive, such as a Freedom of Information Act (FOIA) request, be sure to notify the Records Manager so the retrieval can be conducted in a timely way that meets your deadline. Full information about GMU and FOIA compliance is available at University Administrative Policy #57 or from the Office of Legal Affairs.

Please note that state requirements stipulate a retrieval request usually necessitates an extension of the retention period for the records in question. Contact the Records Manager if you have any questions.
